Responsibilities

At the Registrar, we are dedicated to supporting your academic journey from enrollment to graduation. We fulfill this mission by:

Document Requests

To receive any official document, you will have to send the Registrar an email specifying the needed document/s. The Registrar will prepare the document and once ready, you will receive an email to collect the document.


  • For enrolled students, the certificate fee is charged on your account.
  • For alumni/inactive students, before picking up your documents, the document fees should be settled at the Business Office and bring the receipt with you to the Registrar.

If you are unable to pass by in person, you will have to send an email to registrar@sgub.edu.lb mentioning the name of the authorized person to act on your behalf.


N.B

The document will remain available at the Registrar until the end of the ongoing semester/year (for MED students). All uncollected documents will be disposed of. Paid document/s fees will not be refunded. Unpaid document/s fees will be charged to the student account.

Academic Calendar

The academic calendar lists key dates and deadlines for the academic year. Students should check it regularly to avoid missing deadlines or incurring penalties.

Graduation & Degrees Requirements

Graduation Requirements

Students are expected to meet with their advisor on a semestrial basis to verify that they are on the right track for graduation.


For undergraduate students, and after completing a certain number of credits, students are listed in the students list who are susceptible to graduation.


For the faculty of Medicine, all students in their fourth year (MED IV) are the students audited.


Degree Audit / Academic Progress

Undergraduate programs

At the end of each semester, the Department Chairs audit the list of students who are graduating. The audit should verify the student major, missing course(s), number of validated credits, number of registered credits, the student cumulative GPA, compliance with minimum passing grade requirements for all courses, omission of any eligible student from the list, and any additional department-specific graduation criteria (to be specified by the department).


Graduation Clearance

Graduating students must complete the clearance form before receiving their degrees, including resolving issues such as library materials and outstanding fees.


Name on Degree/Diploma

During their final semester, students will receive an email from the Registrar regarding the spelling of their name on the official degree/diploma.


Students who have a valid passport should ensure that their name is spelled exactly as it appears on their passport. Students who do not have a passport must provide their full name in English as they wish it to appear on their official degree/diploma, including:

  • First Name
  • Father’s Name
  • Last Name

N.B Once the degree/diploma has been issued, changes to the name cannot be made without incurring a diploma re-print fee.


Diplomas/Certificates

Students who graduated receive an email once their diploma package (original diploma, 2 certified copies, 1 official transcript) is ready to pick up.

Transfer

Students seeking to transfer courses must provide the Admissions Office with an official transcript from their university and course descriptions for the courses they wish to transfer.

Ministry of Education and Higher Education (MEHE)

The Registrar can authenticate any SGUB document with our MEHE representative.


To submit the authentication request, international students must provide us with the following documents:


  • Official certificate that needs authentication
  • Copy of the passport
  • Copy of the expired (or soon to be expired) residency permit
  • “إذن دخول/خروج” document from the General Security (أمن العام)
  • Certified copy of:
    • 1- Lebanese Baccalaureate or its equivalency
    • 2- Bachelor’s degree or its equivalency (for MED and PGME students only)
    • 3- Medical degree or its equivalency (for PGME students only)
  • 50,000 LBP for every document as Stamp value طابع مالي))

Once the document has been authenticated, the student will receive an email to pick up the authenticated document/s from the Registrar.


N.B

  1. Please note that the certificate authentication process requires an average of 2 weeks.
  2. The above process is subject to change based on the Ministry of Education and Higher Education (MEHE) decision.

Registration


When can I register?

Undergraduate students can register for courses during the specified times available on the academic year and during the Add/Drop period (1st week of the semester).


How do I register for courses?

Course registration is done strictly online using PowerCampus-SIS.


Why can't I register?

There are several reasons why you are unable to register. You will have to check the following: 1) as new student, check if you have activated your email address 2) if you interrupted your studies, check your enrollment status (active/inactive) 2) check if it is your time slot to register 3) check if you have any hold on your record.


I am facing an error while registering courses

You may receive an error for different reasons:

  • “Schedule conflict”: 2 courses given at the same time
  • “Registration failed”
    • Registering more than 18 credits per term
    • Registering a course without having completed its pre-requisite / co-requisite
  • “You are unable to register at this period”: not your time to register

What is a hold?

There are different types of hold:

  • Financial hold: you have outstanding balance charged on your account
  • Academic hold: you are under probation/expelled
  • Missing documents hold: you have a document missing from your admission file

How can I know my classification?

Undergraduate students are classified as freshman, sophomore, junior or senior, based on the number of credits earned as per the table below:

How do I withdraw from a course?

You will have to submit the Course withdrawal form within the specified deadline on the academic calendar.


How do I obtain a certificate or transcript?

You can request any official document by sending an email to the Registrar email address.


How long does a certificate or transcript request take?

Any official document requires 3 working days to be ready. You will receive an email once the requested document is ready to pick up.

Faculty of Medicine
A Pass/Fail grading system for the Medical Education Program (Med I and Med II). An absolute percentile score is calculated at the end of each block or thread.
P Pass A final grade of the block/thread above the mean minus one standard deviation.
PR Pass with remediation Received when the student gets a grade below mean minus one standard deviation in a block/thread.
F Fail Received after failing all remedial requirements.
W Withdrawn Received when a student is dropped from the program for academic reasons.
To be promoted, students must attain a grade of Pass in all blocks and threads.

What is academic recognition?

Below are the criteria to be listed on the Honors or Distinction list:


To be placed on the Honor’s list, you must meet the following requirements:

  1. Complete twelve or more credits in a regular semester
  2. Earn a semester GPA of 3.60-3.79
  3. Earn an overall GPA of 2.00 or higher
  4. Have no Incomplete work

To be placed on the Distinction’s list, you must meet the following requirements:

  1. Complete twelve or more credits in a regular semester
  2. Earn a semester GPA of 3.80-4.00
  3. Earn an overall GPA of 2.00 or higher
  4. Have no Incomplete work

How do I know if I have completed my degree requirements?
